Work with a stakeholder record

Use the stakeholder detail page to keep profile and notes current, review the stakeholder's full project participation history, and archive (not delete) records you no longer use.

Step by step

    Open the stakeholder

    From the Stakeholders list, click a name to open the detail page. Or from any project, click the stakeholder's name in the Stakeholders panel.

    Update profile fields

    Review the profile fields. Click Edit to update anything that has changed - email change, new organization, new title - then Save.

    Capture useful notes

    Open the Notes section and capture anything a future coordinator should know. Notes are visible to every workspace member who can see the stakeholder.

    Review participation history

    Open the Projects tab. Click any project to jump to it. Use this view to understand the stakeholder's history before sending another invitation.

    Archive or restore as needed

    When the stakeholder is no longer active, click Archive. To bring them back, use the Archived filter on the directory list and click Restore on their record.

What's on the detail page

The stakeholder detail page is the single record for one person across the workspace. It is where you keep their contact information up to date and where you review their participation history.

  • Profile - name, email, phone, organization, title.
  • Notes - free-form context useful to future coordinators.
  • Projects tab - every project the stakeholder has been on, with status and final response.
  • Actions - Edit, Archive, Restore (for archived records).

Use notes generously

Notes are the most under-used field in the directory. Use them to capture the things that aren't obvious from the profile - preferred contact channel, scheduling quirks, timezone preferences, or relationship context. The next coordinator will thank you.

Archive vs delete (again)

Archive keeps audit history intact. Delete is reserved for records you created by mistake and never invited to anything - the app blocks Delete for any record with project history.

FAQ

What fields appear on a stakeholder detail page?

Name, email, phone (optional), organization, title, notes, and the list of projects the stakeholder has participated in.

How do I see what projects this stakeholder is on?

The Projects tab on the stakeholder detail page lists every project the stakeholder is or was on, with project status, the stakeholder's role on that project, and (for Inked projects) their final response.

Can I edit a stakeholder after they've been on projects?

Yes. Open the stakeholder, edit any field, and Save. Existing project invitations don't change retroactively, but new invitations use the updated information.

How do I retire a stakeholder?

Use Archive. It hides the stakeholder from new-project pickers and keeps every historical project intact. Delete is blocked for any stakeholder who has ever been on a project.

How does the primary contact flag work?

Primary contact is a per-project flag, not a directory-wide one. Set it on the project's Stakeholders panel when one specific person is the operational point of contact for that project.
